Privacy policy

Novate.it ("we", "us") is bound by the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy explains what personal information we collect, why, how we hold it and how you can access or correct it.

What we collect

To arrange and administer a novated lease we collect, from you or your employer:

• identity and contact details — name, date of birth, address, email, phone, driver licence;
• employment details — employer, role, salary, pay frequency, start and end dates;
• financial details — information required by a finance partner to assess an application, and bank details for reimbursements;
• vehicle and lease details — the vehicle, its price and running costs, quotes, documents, claims, odometer readings and declarations;
• technical information — device, browser, IP address and usage of the portal, for security and support.

The savings calculator on this website does not collect or transmit the figures you enter; it runs in your browser. Nothing is stored unless you choose to send it to us.

Why we collect it

• to prepare quotes and Disclosure Packs and to arrange finance with a partner on our panel;
• to administer your lease — deductions, budgets, claims, documents, declarations and end-of-lease options;
• to meet our legal obligations, including record-keeping for fringe benefits tax and anti-money-laundering requirements;
• to support you and to improve the platform;
• to contact you about your lease. We do not send marketing unless you opt in, and you can opt out at any time.

Who we share it with

Only where necessary to provide the service:

• your employer, for the information needed to novate and administer the lease and for FBT reporting;
• finance partners on our panel, to assess and fund your application;
• service providers — e-signature, vehicle data, insurance, payment and hosting providers — under contracts that restrict their use of your data;
• regulators or law enforcement where required by law.

We do not sell personal information, and we do not share it with third parties for their own marketing.

Where it is held

Data is stored on Microsoft Azure infrastructure in Australian regions and encrypted in transit and at rest. Some service providers (for example e-signature) may process data outside Australia; where they do, we take reasonable steps to ensure they handle it in accordance with the Australian Privacy Principles.

How long we keep it

Lease records are retained for seven years after the lease ends, to meet taxation and financial services record-keeping obligations. Records of enquiries that do not proceed are deleted after two years.

Access and correction

You can view and update most of your information in the portal. For anything else, or to request a copy of the information we hold, email hello@novate.it. We respond within 30 days.

Cookies and analytics

This website uses only strictly necessary cookies. The portal uses session cookies for authentication. We use privacy-preserving analytics that do not identify individuals and do not track you across sites.

Complaints

If you think we have mishandled your information, contact us first at hello@novate.it. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
